Dashboard
A dashboard is a graphical interface that condenses the most important metrics and information of a domain onto a single screen and keeps them continuously updated, so the state of a company or process can be grasped at a glance.
A dashboard is a graphical user interface that brings the relevant metrics, charts and status indicators of a defined subject area together in a condensed form on a single view and, as a rule, updates them automatically from the underlying data. The term derives from the "dashboard" of a vehicle: just as that display bundles speed, fuel level and warning lights, a digital dashboard brings the decisive measures of a company, a department or a process together so that the current state can be grasped without detours.
Unlike a classic, multi-page report, a dashboard is designed for overview and quick orientation: a few carefully selected metrics, visually prepared, usually grasped without scrolling and often interactive. It first answers the question "How do things stand right now?" and then invites targeted drilling deeper. In the ERP and BI environment, the dashboard is thus the central instrument for filtering action-relevant signals out of large volumes of data.

What is a dashboard and what does it consist of?
A dashboard is made up of several building blocks, usually referred to as widgets, tiles or panels. Each of these blocks visualizes one or a few metrics – for example as a large single figure (KPI tile), as a bar or line chart, as a pie chart, as a traffic light or gauge, or as a compact table. The arrangement follows a grid logic in which the most important information sits at the top and left, because the eye lands there first.
Technically, a dashboard draws its values from one or more data sources: directly from the operational database of the ERP system, from an upstream data warehouse, or via interfaces from third-party systems such as a shop, CRM or accounting. An update mechanism – real-time query, scheduled refresh or manual refresh – keeps the display current. Filters, time-range selection and drill-down make many dashboards interactive, so users can navigate from the overall view down to the individual posting or the individual order.
Metrics, visualization and thresholds
The value of a dashboard stands and falls with the selection of the right metrics (KPIs) and their fitting presentation. Absolute snapshot values such as current stock levels belong in single-figure tiles, temporal developments such as daily revenue in line charts, shares in stacked bars. Stored threshold or target values turn plain numbers into signals: a green-yellow-red traffic light or a colored deviation shows immediately where action is needed, without the viewer having to interpret every figure individually.
How does a dashboard work?
Behind the visible interface sits a data pipeline. First, the required data is read from the source systems, often cleaned via an ETL process and merged into a data warehouse. On this basis, metric formulas define how a value is calculated – for example "revenue = sum of the net amounts of all invoices in the selected period". The dashboard queries these prepared values and renders them in the respective widgets.
Timeliness is decisive: an operational dashboard in the warehouse ideally shows stock levels in real time, while a management dashboard with monthly figures makes do with a nightly refresh. Many BI tools also allow a dashboard to be built once and made available to different users in filtered form via role and permission concepts, so each person sees only their relevant and authorized data.
Why dashboards matter in the company
Dashboards shorten the time between event and decision. Instead of laboriously gathering figures from various lists, those responsible see the relevant section immediately and can take countermeasures earlier – for example with declining delivery capability, rising return rates or stock levels getting out of hand. The dashboard thereby creates a shared, fact-based foundation and reduces gut decisions.
A second benefit lies in focus: because a dashboard has only limited space, it forces agreement on the metrics that are truly relevant to steering the business. Done well, it acts as an early-warning system and a daily steering instrument at the same time. The prerequisite, however, is clean data quality – a dashboard only makes errors in the base data more visible, it does not fix them.
Role-specific dashboards
In practice there is rarely "the one" dashboard, but rather a series of role-specific views. A management dashboard bundles revenue, contribution margin and liquidity; a purchasing dashboard shows order proposals, reorder levels and supplier performance; a warehouse dashboard concentrates on open picking tasks, stock levels and throughput times. This way, each function receives exactly the condensed view that counts for its decisions, instead of drowning in a universal view.
Dashboard in the ERP system
In the ERP system, the dashboard is often the first view after login and the entry point into reporting. Because the ERP holds the operational data from sales, purchasing, warehouse and accounting in one place anyway, metrics can be visualized directly without elaborate data integration – for example daily revenue, open orders, stock level or dunning levels. Many systems deliver preconfigured standard dashboards that can be extended with your own widgets in a modular fashion.
For more complex evaluations, the ERP’s own dashboard reaches its limits, for example when data from several systems is to be combined, historized or analyzed with high computational load. Then the ERP becomes the data source for a specialized BI tool, connected via an interface or through a data warehouse. The choice between an integrated ERP dashboard and an external BI tool is a typical trade-off between simplicity and analytical depth.
Distinction: dashboard vs. report and business intelligence
Dashboard, report and business intelligence are often mixed up, but they denote different things. A dashboard is designed for ongoing overview and quick orientation, a classic report for detailed, often multi-page evaluation fixed to a reference date. Simplified: the dashboard shows that something is happening; the report explains in detail what and why. Both access the same metrics, but differ in level of condensation and usage situation.
Where business intelligence begins
Business intelligence is the umbrella term for the methods and tools used to collect, prepare and analyze company data – dashboards and reports are its visible output formats. While a dashboard shows above all the "what", more advanced BI methods such as OLAP analyses or data mining aim at the "why" and the "what if". A dashboard is thus the topmost, condensed layer of a BI architecture whose foundation consists of data sources, ETL routes and a data warehouse.
Example
Dashboard at a mid-sized e-commerce company
An online retailer with around 6,000 items and several sales channels sets up a management dashboard in its ERP. At the top sit four KPI tiles: daily revenue, open orders, average order throughput time and current return rate. Below, a line chart shows the revenue trend of the last 30 days per channel, alongside a traffic light for the delivery capability of the A items.
When the return-rate tile jumps to red on a Monday, the managing director clicks via drill-down into the detail view and recognizes that the spikes stem almost exclusively from one product variant. Purchasing blocks the item for reorders that same day and clarifies a quality problem with the supplier – weeks before a monthly evaluation would have made the problem visible at all.
