A matchcode is a short, meaningful search and sorting key assigned to a master data record – such as a customer, supplier or item – in addition to its unique number. It lets you quickly find records in the ERP system without knowing the exact number.

As an attribute of master data, the matchcode accompanies a record permanently and is assigned when a customer, item or supplier is created – often derived automatically from existing fields such as the surname, the company name or the item description. In an order, quotation, purchase order or posting it serves as the entry point for searching: you find the record via the matchcode but continue working with the underlying unique number. A well-designed matchcode scheme thus increases data-entry speed and reduces the number of wrong selections.

What is a matchcode and what is it used for?

The term matchcode combines "match" (to correspond) and "code" (key) and denotes a search key through which a system finds a matching record. In the ERP and inventory management world it is an established field in master data: every customer, supplier or item carries, alongside its technical number, a matchcode that is easier for people to remember and type than a plain string of digits.

The practical benefit lies in data-entry speed. Anyone who creates orders, purchase orders or postings every day rarely knows all the numbers by heart. The matchcode bridges this gap: a short, expressive term is enough to filter the right record out of thousands. In this way the matchcode combines the advantages of unique numbers – stability, machine processability – with the readability of meaningful labels.

Origin of the term

The matchcode comes from classic commercial data processing and was shaped by widely used ERP systems – in the SAP environment, for instance, as the "search term", in many inventory management systems simply as the "matchcode" or "search name". Historically it was important when records were still called up via command lines or short fields. Even with modern full-text search it remains relevant because it offers a controlled, reliably sortable entry point.

How a matchcode is structured and how it works

A matchcode usually consists of a few characters and follows a fixed derivation rule. For customers and suppliers, the surname or the first letters of the company name are frequently used, supplemented by a location or a running identifier to avoid confusion – for example "MEIER-KOELN". For items, the matchcode is often derived from the product group and a short description, for example "SCR-M6-GLV" for a galvanized M6 screw.

Technically the matchcode is an indexed search field: the ERP system creates an index over this field so that the search responds very quickly even with large data volumes. Unlike the unique number, a matchcode does not have to be unique – several "MUELLER" entries are permitted, in which case the system shows a hit list for selection. This is precisely why a consistent naming scheme is important: it keeps hit lists short and the selection unambiguous.

Automatic vs. manual assignment

Many systems generate the matchcode automatically from existing fields according to a stored rule while also allowing a manual override. Automatic derivation ensures uniformity and saves data-entry effort; manual adjustment makes sense when the rule leads to imprecise or colliding values. It has proven useful to normalize upper/lower case, special characters and spaces in the matchcode so that the search matches regardless of the input format.

The matchcode in the ERP system

In the ERP system the matchcode appears wherever a master data record is selected. When a clerk creates a sales order, they enter not the number but the matchcode in the customer field; the system opens a hit list and, once a selection is made, pulls in the complete record including address, payment terms and prices. The same applies when recording purchase orders via the supplier matchcode or when adding items via the item matchcode.

The matchcode thus acts as a link between user convenience and data integrity: the person searches with a readable term while the system continues to work internally with the stable number. This separation is important because numbers should remain unchanged over the lifetime of a record, whereas a matchcode can be adjusted when needed – for example after a company renaming – without documents or postings losing their reference.

In data maintenance the matchcode is also a lever against duplicates. Anyone who searches for a customer's matchcode before creating a new one immediately sees whether the record already exists. A disciplined approach to the search term thus lowers the number of duplicated master records and supports data quality across the entire system.

Good matchcode conventions and DACH practice

For a matchcode to unfold its value, clear rules are needed. What has proven effective: uniform derivation rules per data type, a fixed character length, normalization of upper/lower case and special characters, and a collision strategy – for example an appended location abbreviation or a running number when several records would share the same base term. Rules should be documented and, where possible, enforced by the system so that all users assign them identically.

In the DACH region the matchcode is firmly anchored in inventory management and accounting systems; in many German-language ERP solutions the field is called "Matchcode", "Suchbegriff" (search term) or "Suchname" (search name). When handing data over to tax-advisor systems such as DATEV or BMD, a short name or search term corresponding to a matchcode is often maintained for accounts receivable and accounts payable. Setting up your scheme early and consistently eases both daily work and later data migrations during a system change, where matchcodes have to be mapped or re-derived.

Example: wholesaler speeds up order entry

A wholesale business with around 4,000 customers long recorded orders via the customer number. New employees did not know the numbers and searched laboriously through lists, which delayed every entry and led to misallocations. Duplicates also arose because it was not reliably checked before creating a new record whether a customer already existed.

The company introduced a fixed matchcode scheme: a short form of the company name plus a location abbreviation, derived automatically on creation and manually adjustable when needed. Since then, clerks type a few letters in the order, choose from a short hit list and immediately continue working with the correct record. Data entry became noticeably faster, misallocations declined, and because everyone searches the matchcode before creating a new record, far fewer duplicate customer master records arise.
